Privacy notice for Benefits IQ

1. Who we are

PerkIQ Ltd (company number 17102662, ICO registration ZC108098) runs Benefits IQ and is the controller of the personal data described here. Registered address: 167-169 Great Portland Street, 5th Floor, London, W1W 5PF. Contact: info@perkiq.co.uk.

2. What we collect

• Your work email address, your first name, your area of work, your organisation's name, the type of organisation, its headcount range and its sector (each chosen from a list, apart from the names and email).
• Your answers to the Benefits IQ questions, and how long you took.
• If you win: your full name, your county and a UK delivery address, which we ask for when you claim the prize. The address is used only to send it.
• Whether you ticked the optional PerkIQ box, when you ticked it, and the version of the wording you saw.
• For employers: whether a PerkIQ account with a work email at your organisation's domain completed the free Benefits Snapshot by the close, and when. This is used only for the extra draw entry.
• A scrambled (hashed) form of your internet address, used only to limit abuse, and the link you arrived from, for example a LinkedIn post.

Your answers are saved in your browser's local storage on your device until you finish, so a dropped signal or a reload does not lose them. Nothing is sent to us until you submit your details at the end. The saved answers are cleared when you finish.

To enter you must give your first name, your area of work, your work email address, your organisation's name, its type, headcount range and sector, and answer the questions. Without them we cannot run your entry or show your results. The PerkIQ tick box is optional.

3. Why we use it, and on what basis

• To run the prize draw, check one entry per company, and tell the winners. Basis: our legitimate interest in running the draw you asked to enter.
• To check whether your organisation has earned an extra entry, by looking at whether a PerkIQ account with a work email at the same domain completed the free Benefits Snapshot by the close. We check only that it was completed and when, not the answers or the score. Basis: our legitimate interest in running the draw you asked to enter. Your PerkIQ account is covered by our platform privacy policy.
• To build the Benefits IQ comparison, show you your results and email you the summary report. Basis: our legitimate interest in producing the benchmark you asked to see. Your results are general information, not advice.
• To see where entries come from, using the link you arrived from. Basis: our legitimate interest in measuring how we promote Benefits IQ.
• To stop abuse of the draw, such as automated or repeated entries, using the scrambled internet address and the time taken. Basis: our legitimate interest in a fair draw. An entry completed faster than a person could answer is left out of the draw and the comparison automatically. If you think yours was wrongly excluded, email info@perkiq.co.uk and a person will check it.
• To send you PerkIQ benefits insights by email, only if you ticked the PerkIQ box. Basis: your consent, which you can withdraw at any time by using the unsubscribe link in any of those emails or by emailing info@perkiq.co.uk. We record the wording you saw, its version and when you ticked it.
• To tailor what we send you, using your answers, only if you ticked the PerkIQ box. Basis: our legitimate interest in sending you insights that are relevant to your organisation.

4. Who receives it

Combined results only, no names. Your answers to the shared questions are combined with other employers’ answers into one comparison. Your answers are never shared in a form that identifies you. We publish and share only combined results, with at least 10 employers behind every figure. We do not publish or share anything that names you or your organisation.

Our suppliers. We use service providers to run this page and to send your emails, listed on our sub-processors page. If you tick the PerkIQ box, your details and your answers may also be held in our customer relationship system, HubSpot.

Winners. If you win, we may give your surname and county to anyone who asks, unless you object. We will give them to the Advertising Standards Authority if it asks, even if you object (terms section 9).

Outside the UK. Some of our suppliers, including our email and customer relationship systems, are in the United States. Where your data leaves the UK, it is protected by the safeguards listed for each supplier on the sub-processors page, such as the UK International Data Transfer Agreement.

5. How long we keep it

• Your details, your entry and the scrambled internet address: deleted 3 months after the survey closes.
• If your entry fails to go through after you submit it, what we received is deleted after 30 days.
• Winners: full name, county and the record of the draw (which entries were valid and which were drawn) kept for 12 months after the draw, so we can answer any question about how it was run. Delivery addresses are deleted once the prize has arrived.
• Your answers: once your details are deleted, we keep them without your name, email address or organisation's name, and use them only in combined form to produce, publish and improve our benefits benchmarks and services.
• If you ticked the PerkIQ box: your contact details, and the answers held with them in HubSpot, are kept until you unsubscribe or ask us to delete them. We ask again from time to time.

6. Your rights

You can ask to see, correct or delete your data, restrict or object to how we use it, receive a copy in a portable format, and withdraw consent. You can object at any time to our using your data for direct marketing, including tailoring what we send you, and we will stop. To stop PerkIQ emails, use the unsubscribe link in any of them or email info@perkiq.co.uk. If you are unhappy, you can complain to the Information Commissioner's Office at ico.org.uk.

7. Cookies

This page uses the same cookie choices as the rest of our website. Analytics cookies are used only if you accept them in the cookie banner.
